Job Duties:

Primary Purpose of Position:

Guides the activities of the corporate payroll department in the preparation of processing payrolls for those countries in which payroll services are expected. Maintains a close working relationship with the outsourced vendor, guiding their deliverables to ensure they are meeting the needs of our organization. The incumbent is responsible for ensuring the function remains in compliance with all Government and local tax and reporting requirements, for the timely and accurate processing of all disbursements.

Essential Functions:

  • Oversees all activities associated with the timely and regular processing and reporting of the corporation’s various payrolls. Ensures that adequate controls are in place to document all key processes, that the correct statutory and voluntary deductions are taken from all disbursements and that the proper recording and transfer of funds to outside third parties is completed accurately and on time. Processes all quarterly and annual payroll filings and works with assigned auditors (internal and external) to ensure that all regulatory requirements are satisfied.

  • Provides leadership and structure within a shared service environment. This includes the management of tickets, customer expectations and service level agreements.

  • Remains current on changes to Government and local payroll tax regulations and ensures that all requisite systems are updated as required to facilitate the accurate deduction and reporting of payroll tax information to the appropriate agency.

  • Works with corporate accounting, auditing, compensation, benefits and other personnel across the organization to coordinate matters involving payroll including, but not limited to, payroll distribution, taxes, executive compensation (Incentive Compensation, Equity Based Compensation, Deferred Compensation, etc.). Responsible for oversight of pension disbursements to retirees (or surviving dependents).

  • Ensures best in class administrative practices and procedures are in place, documented and observed. Remains abreast of industry trends and thoughtfully evaluates new innovations against the company’s capabilities, and makes recommendations to management on those systems, process improvements, etc. that would prove beneficial to the organization. Responsible for initiating, and in conjunction with colleagues in HRIS planning, designing and overseeing any, and all, maintenance, modifications or upgrades to the payroll system. Serves as expert consultant in similar matters involving program changes to the compensation and/or benefit system.

  • Builds and maintains a strong payroll function through selecting and developing staff professionals. Establishes clear and stretching objectives, actively monitors performance and provides timely and objective feedback to all staff.

  • Access to the Protected Health Information (PHI) of plan participants, as defined by the Health Insurance Portability & Accountability Act (HIPAA) privacy rule, may be necessary to perform these duties. Required to participate in privacy training and retraining and comply with HIPAA regulations and obligations with respect to PHI.

  • While the regular working cycle of this position is usually five days on (Monday-Friday), this job may include working weekends (Saturday and Sunday); working hours may vary as specified by management. Incumbent must be able to work overtime on a regular basis and/or be on call as directed by management.

Position Requirements:

  • Broad training in a related field usually acquired through college level education or work-related experience

  • Job related experience for of 5-7 years minimum of progressive payroll experience, with 3-5 years supervisory experience expected

  • Working knowledge of the following areas:

  • Government and local payroll tax and reporting regulations for those countries in which payroll services are expected

  • Payroll accounting, analysis and reporting requirements

  • Human resources, general ledger and payroll systems

  • ADP Globalview or SAP Payroll

  • Ability to apply intensive and diversified evaluation, selection and substantial adaptation and modification of standard payroll techniques, procedures and criteria.

  • 5% of travel
