Senior Executive Assistant

This role supports the Vice President of Operations by performing a variety of complex executive level administrative functions ensuring timely and accurate completion of assigned tasks. This individual regularly serves as a liaison on activities and communications. Routine exercise of independent judgment, demonstrating initiative, managing simultaneous tasks, and handling of highly confidential information is required.

What you’ll do:

  • Anticipate and support the executive’s daily and ongoing activities and responsibilities.

  • Demonstrate high caliber customer service capabilities in support of the business objectives.

  • Support Operations Leadership in maintaining an engaged workforce via employee events and planning.

  • Develop, maintain, and disseminate overall calendar activities for executive.

  • Coordinate and support communications across Operations organization and across internal customers.

  • Work with Communications Organization to execute a formal communications plan.

  • Screen incoming calls, email and written correspondence. Diplomatically respond to requests on the executive’s behalf as appropriate while maintaining the utmost confidentiality.

  • Coordinate travel needs, including expense reports.

  • Plan and prepare executive’s meetings including assisting in preparation of background/briefing materials, scheduling, gathering of agenda items, follow-up on action items, and distribution of minutes.

  • Build positive professional relationships with internal and external personnel to gather and exchange information, arrange meetings and teleconferences, and coordinate various activities.

  • Perform complex and confidential administrative functions including developing correspondence as well as creating and maintaining databases and spreadsheets.

  • Perform in an open and sometimes stressful environment with many interruptions while maintaining a professional demeanor.

  • Maintain a regular and predictable work schedule.

  • Establish and maintain effective working relationships within the department, the Strategic Business Units, Strategic Support Units and the Company. Interact appropriately with others in order to maintain a positive and productive work environment.

  • Perform other duties as necessary.

    What you’ll need:

  • High School diploma or equivalent plus 10 or more years of related experience.

  • Each higher-level related degree, i.e., Bachelor’s or Master’s, may substitute for two years of related experience. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.

  • Ability to plan and anticipate executive’s needs.

  • Thorough knowledge of modern office practices, procedures, and technologies.

  • Proven ability to perform a variety of clerical, secretarial, and administrative duties requiring initiative and exercise of independent judgment.

  • Strong organizational skills with attention to detail and follow-through.

  • Ability to work independently and communicate effectively, both verbally and in writing.

  • Ability to interact and communicate professionally and diplomatically with individuals at all levels of the organization as well as external constituencies.

  • Comfortable working in a fast-paced environment with a demonstrated ability to juggle multiple competing tasks and demands and produce desired results.

  • Ability to form trusting relationships with administrative staff of key stakeholders both internal and external.

  • Must be skilled at running pivot tables and formulas in Excel, must be able to animate details in Power Point.

Working Conditions:

  • Work is performed in an office environment.

  • Travel and local commute between Ball campuses and other possible non-Ball locations may be required.

Security Clearance:

Successful applicant for this position must be eligible to obtain a DoD clearance or government customer access to classified/sensitive material. A current DoD clearance is not required to be eligible for this position, however the successful applicant will be required to obtain a DoD clearance or government customer access within a reasonable time after the offer is extended and must be able to maintain the applicable clearance. *US Citizenship is Required.
